Cancellation Policy
Booking and Cancellations
We require a deposit of one full day’s rate for every four days booked to secure your reservation (any discounts will be applied to the final payment). Final payment is required 60 days prior to the arrival date. Date changes are guaranteed penalty-free with 90 days notice for bookings receiving the Early Booking Discount.
Refunds are not offered on unused portions of the package once booked.
All deposits and final payments are non-refundable, but in the event of cancellation of part or all of the booking, we will issue a transferable “Do-Over” Credit for the value of the cancelled portion, good for 14 months from the date of the original booking. Do-Over Credits may not be applied to pre-existing bookings at any time, ie bookings that were in place prior to the cancellation.
Do-Over Credits must be mentioned or presented for redemption at the time of booking. These credits are valid any time, but may be used on 48 hours notice only, unless booking for midweek dates in April/May/October. The value of the Do-Over Credit will be applied to the final payment of a booking; it may not be used as initial deposit. If we sell out the cancelled space, we will issue a Do-Over Credit that can be used without restrictions. (meaning it may be applied to any new booking)
Sundance Guest Ranch will not be held responsible for cancellations of or failure to provide all or part of the purchased vacation package for reasons including but not limited to: fire, flood, wind, rain, smoke, heat, lightning, road closures, state of emergency shutdowns, pandemic, catastrophic disease of horse herd or other “force majeure” events beyond its control, and refunds will not be issued.
In the event of any of the aforementioned, a transferable, non-expiring Do-Over Credit will be issued for the value paid. Such credits must be booked for use by December 1st of the year prior to use. (Penalty-free date changes with 90 days notice) After this date, credits may be booked for spring and fall midweek dates only, or kept on file for a subsequent year when they may be booked for any dates including peak periods, when booked by December 1st.
All cancellation credits have no cash value, so may not be applied against taxes or extras, but only against the vacation package.
